Role summary
This role provides comprehensive administrative and operational support to Therapy Services, ensuring efficient coordination of clinical and non-clinical activities. The post holder will work independently, prioritise workloads, and act as a key point of contact for administrative and operational matters. It involves close collaboration with the multi-disciplinary team and service users to deliver consistent and effective patient care.
Key responsibilities
- APP clinic and outpatient clinic administration.
- Recruitment, onboarding and leaver process coordination.
- RTT validation and performance reporting.
- e-Roster and workforce administration support.
- Room bookings, locker management and resource allocation.
- Minute taking and administrative support for the Therapy Leadership Team and Operational Managers.
Essential criteria
- oDemonstrable ability to meet the Trust Values
- oRSA 2 or RSA 3 word processing/typing or equivalent experience
- oEnglish and Maths at GCSE level or equivalent
- oPrevious experience of working with the public and/or patients in a healthcare environment
- oExperience of interaction with all levels of staff
- oPrevious administrative and organisational experience
- oExperience of managing and prioritising own workload and working to deadlines
- oExperience of dealing with non-routine and complex Problems
- oPrevious experience in Minute taking.
- oExcellent written and verbal communication skills
- oEffective teamworking
- oExcellent organisational skills with meticulous attention to detail
- oExcellent customer care practice, being polite, sympathetic, patient and diplomatic
- oUnderstanding patient confidentiality
- oTeam work and ability to develop strong collaborative working relationships within different teams and relevant administrative, clinical and management staff
- oAbility to work without direct supervision
- oReliability - good time keeping
- oAbility to maintain excellent communication channels and good customer services
- oMaintain a high level of professionalism in manner

Desirable criteria
- oDiploma level qualification or equivalent experience
- oKnowledge of medical terminology
- oCourses / further study attended to demonstrate evidence of personal development
- oKnowledge of NHS issues and experience of working in the NHS
- oIntermediate knowledge of IT systems and software programmes such as Outlook, Word, Excel, PowerPoint and Access
- oUnderstanding of Confidentiality and Data Protection Act.
- oKnowledge of Cerner
- oAwareness of National and Trust pathway targets (such as 18 week RTT target)
- oAbility to confidently interact and share knowledge with staff at all levels
- oProof of continuous learning and development
- oAbility to learn and assimilate information quickly
- oAbility to use databases
- oAbility to work flexibly to accommodate peaks and troughs of activity
