Role summary

This role is for an organised and proactive Business Support Assistant to join the NHS Essex ICB. You will provide high-quality administrative support to designated departments, managing diaries, meetings, records, and correspondence. The position involves using Microsoft Office, handling confidential information, and contributing to continuous improvement within a hybrid working model. Key responsibilities

  • Provide proactive, high-quality business and administrative support to teams.
  • Coordinate busy diaries, meetings, room bookings, agendas, papers, notes, and actions.
  • Prepare, format, and maintain documents, spreadsheets, reports, and records, handling confidential information appropriately.
  • Act as a professional first point of contact, managing correspondence and routine enquiries.
  • Support project, governance, and reporting activity by maintaining action logs, records, and trackers.
  • Assist with financial and resource processes, including purchase orders, invoices, and budget information.

Essential criteria

  • Experience working in an administration or business support role, including providing administrative support, maintaining records and using administrative systems.
  • Experience arranging meetings, preparing agendas, collating papers and producing accurate notes, minutes, actions or decisions.
  • Experience handling confidential, sensitive or complex information appropriately and in line with organisational requirements.
  • Personal commitment to the values of the NHS 10-year Plan, the NHS People Plan, the Nolan Principles, to championing equality, diversity and inclusion within the ICB and the wide health system.
  • Excellent communication and interpersonal skills, with a professional and helpful approach.
  • Able to work independently and as part of a team, with confident IT skills including Microsoft Word, Excel, PowerPoint and Outlook.
  • Able to collate, organise and present information clearly and accurately to support reporting, monitoring or decision making.
  • Able to use spreadsheets, trackers or action logs to monitor progress, deadlines, actions and follow-up.
  • Able to identify issues in day-to-day work, keep records up to date and escalate concerns appropriately.
  • Able to maintain accurate records, action logs, trackers and meeting documentation.
  • Understands the importance of confidentiality, information governance and accurate record keeping.
  • Able to support governance processes by tracking actions, deadlines, decisions and follow-up.
  • Able to build effective working relationships with colleagues, teams and stakeholders.
  • Experience working across teams to support shared tasks, meetings, projects or workstreams.
  • Able to respond to queries, follow up actions and escalate issues appropriately when needed.
  • Diploma level qualification or equivalent level of experience in relevant role
  • Works well as part of a team, supporting colleagues and contributing to a positive, professional working environment.
  • Communicates clearly, respectfully and professionally with colleagues, managers and stakeholders.
  • Demonstrates inclusive behaviours and a commitment to continuous improvement and high-quality support.

Are you organised, proactive and committed to delivering excellent business support? Join the Business Support Team at NHS Essex ICB as we develop a consistent administrative support model across the organisation.

As part of a central team, you will support a designated group of departments, building strong working relationships, understanding priorities and providing high-quality, consistent support.

You will support diary management, meetings, agendas and notes, records, reports, correspondence, financial administration and project activity. You will be confident using Microsoft Office, able to manage competing priorities and comfortable handling confidential or complex information.

This role offers the opportunity to work within a supportive team while taking ownership of your workload and working relationships. You will contribute ideas, support continuous improvement and help strengthen administrative processes across the ICB.

We are looking for positive, flexible and professional people with strong communication and relationship-building skills who want to make a difference.
