Role summary
This role involves providing comprehensive administrative services to a team, including managing referrals, appointments, and correspondence. The successful candidate will handle daily liaison with staff and service users, some of whom may be distressed. Key responsibilities include maintaining office systems and ensuring effective administrative support for the team.
Key responsibilities
- Provide comprehensive and efficient administration support, including handling correspondence and telephone enquiries.
- Liaise with other directorates, agencies, and staff both internally and externally.
- Ensure all documents and correspondence are correctly filed or uploaded into the electronic patient record system.
- Process 48-hour discharge letters to GPs and send out-patient appointment letters.
- Maintain a comprehensive repeat prescription filing system and organise non-urgent patient transport.
Essential criteria
- NVQ 3 or equivalent
- RSA 3 or equivalent evidenced experience
- GCSE or equivalent at Grade C or above to include English and Maths
- Proven experience of a range of administration and secretarial procedures.
- Proven typing experience including audio typing
- Experience of producing documents to a high standard of presentation and accuracy.
- Experience of generating own correspondence
- Experience of maintaining office systems.
- Experience of working as part of a team

Main duties of the job
The Team Support member will provide a full administrative service having daily liaison with a wide range of staff at all levels. They will have daily contact with service users and their carers who at times may be distressed, angry or posing a threat to themselves. The Team Support will be responsible for ensuring the effectiveness of the office environment for the team.
