Role summary
This role supports the local implementation of the NHS People Portal, a national initiative replacing the Electronic Staff Record (ESR) with a modern cloud-based workforce platform. The postholder will lead business process change, organisational readiness, and benefits realisation activities. They will help the Trust adopt new ways of working and maximise the benefits of the new system. The role involves assessing change impacts, supporting process redesign, engaging stakeholders, and driving adoption across the organisation.
Key responsibilities
- Develop a thorough understanding of existing business processes across workforce management compared to the future solution.
- Coordinate inputs from stakeholders to complete a comprehensive change impact assessment.
- Facilitate stakeholder input into local configuration requirements and support alignment between organisational processes and solution design.
- Develop and implement a plan to adapt business processes, redesigning workflows and embedding new ways of working.
- Extract baseline data points to support benefits tracking by the national programme.
- Work with operational and programme leads to support and coordinate benefits tracking.
Essential criteria
- GCSE (or equivalent) English and Mathematics at Grade C/4 or above.
- Evidence of ongoing professional development relevant to workforce systems, change management, project delivery or service improvement.
- Experience supporting organisational change, service improvement or transformation initiatives.
- Experience working with workforce, HR, payroll, finance, digital or operational systems and processes.
- Experience using ESR, including knowledge of back-office functions, workforce reporting, data extraction and management information.
- Experience gathering, analysing and presenting data to support decision-making and performance improvement.
- Experience engaging and working collaboratively with a range of stakeholders.
- Good understanding of NHS workforce processes and the employee lifecycle.
- Understanding of change management principles and the impact of organisational change on staff and services.
- Knowledge of business process mapping and continuous improvement approaches.
- Understanding of data quality, information governance and reporting requirements.
- Excellent communication and interpersonal skills.
- Strong analytical and problem-solving abilities
- Ability to interpret data and present findings clearly to different audiences.
- Ability to manage competing priorities and work to deadlines.
Desirable criteria
- Degree or equivalent experience in a relevant subject area.
- Relevant qualification in project management, change management, business improvement or CIPD.
- Experience supporting a digital transformation or system implementation programme.
- Experience working within the NHS or wider public sector.
- Experience of workforce reporting, workforce analytics or business intelligence tools such as Power BI.
- Experience facilitating workshops, stakeholder meetings or process mapping sessions.
- Experience supporting project delivery, business process reviews or change activities.
- Knowledge of change management methodologies such as Prosci, ADKAR or Kotter.
- Knowledge of ESR optimisation, workforce systems or HR and payroll system implementation.
- Understanding of benefits realisation and organisational readiness activities.

Job summary

East Kent Hospitals University NHS Foundation Trust is seeking an experienced change professional to support the local implementation of the NHS People Portal. The postholder will lead business process change, organisational readiness and benefits realisation activities, helping the Trust adopt new ways of working and maximise the benefits of the new system.
Reporting to the Transformation Lead, the role will work closely with NHSBSA implementation teams, supplier partners and colleagues across People Services, Digital, Finance and operational services. Key responsibilities include assessing change impacts, supporting process redesign, engaging stakeholders and driving adoption across the organisation.
