Role summary

Key responsibilities
- Oversee the day-to-day work of administrative colleagues across defined localities.
- Ensure administrative processes run smoothly and efficiently, including appointment booking, workforce allocation, caseload management, patient communication and post-clinic actions.
- Support the development and maintenance of diaries, templates and documentation within the electronic patient record system (EMIS).
- Monitor data quality, support audits and review performance information to identify opportunities for improvement.
- Manage and respond appropriately to concerns, complaints and adverse events, escalating issues where necessary.
- Line manage, train and mentor new and existing colleagues, providing guidance and support.
Essential criteria
- GCSE Maths and English
- oLiaises with colleagues, patients/clients and/or external contacts handling complex messages and complaints including sensitive information to help the team/service run efficiently and effectively.
- oCreates written/electronic correspondence including bespoke letters
- oLine manages, trains and mentors colleagues/new staff, conducting regular one to one meetings and providing wellbeing and emotional support, performance management and professional development.
- oExpected to follow standard operating procedures (SOPs) and policies to support your role and contribute to ideas for service developments
Desirable criteria
- NVQ level 3 Business Administration
- oAdministration work relevant to the position applied for
- oHandling information confidentially and securely.
