Role summary
This part-time permanent Appointments Clerk role supports the Children's Outpatients Department at Airedale Hospital. The post holder will manage appointments, clinics, and data collection, ensuring a positive experience for patients from referral to test completion. Key responsibilities include managing waiting lists, escalating breaches of national standards, and handling queries from staff and the public.
Essential criteria
- Good general standard of education including English and Maths grade A-C or equivalent
- NVQ Level 2 Business Administration or equivalent
Desirable criteria
- ECDL
- NVQ 3 or equivalent in business admin
- OCR Level 3 or equivalent
- Relevant experience of administration/ clerical work within the customer service area. Experience of handling calls from the public
- Experience of working in a healthcare setting
- Knowledge and experience of using the national ERS system and System One
- Experience of complex and difficult calls
- Dealing with complaints.
- Awareness of national waiting list targets/timelines and Trust policies on the management of waiting lists
- NHS Organisations and working practices
- Knowledge of data protection
- Knowledge of Caldicott guidelines
- Understanding of equality and diversity
- IT and keyboard skills in an office setting. Knowledge of Microsoft office software packages
- Good communication and interpersonal skills and good telephone manner
- Ability to manage own workload

Job summary
We are looking to recruit a part time Appointments Clerk on a permanent basis to support the Children's Outpatients Department at Airedale Hospital. Most of the time, our Administration Team provide the first encounter and experience for our patients and visitors when they arrive in the department whether that be by phone or face to face. This makes their role important for ensuring a positive experience for our patients from when the department receives their referral to when the patient has had their test.
Main duties of the job
The successful post holder will be responsible for:
- Supporting the clinical team with managing all aspects of appointments, clinics and data collection.
- Advising the Administration Assistant and Receptionist what support may be required.
- Managing the waiting lists and escalating to the Patient Service Manager and/or Clinical Service Manager any increases in waiting times which are likely to breach the national constitutional standard for diagnostic tests.
