Role summary

This role supports the Bolton Urgent Care Teams by providing comprehensive administrative services. The post holder will undertake general office duties, including typing medical correspondence, managing calls from service users and professionals, and minuting meetings. They will work where extra administrative support is required, reporting to the relevant Administration Manager.

Key responsibilities

  • Undertake audio/clerical duties, including minute taking, clinical letters, reports, and discharge correspondence.
  • Be the first point of contact for written and telephone enquiries, using judgement to establish validity and priority.
  • Deal with admission/clinic enquiries, always observing patient confidentiality.
  • Liaise with GPs, outside agencies (e.g., Social Services, Coroner's Office), and multi-disciplinary team members.
  • Record activity onto appropriate systems accurately and track service users from referral to discharge.

Essential criteria

  • 2 years previous office experience or equal demonstrative experience
  • GCSE Maths and English or equivalent
  • Use of all Microsoft Packages
  • Working in a confidential environment
  • Good communication skills
  • The data protection act / patient confidentiality
  • Use of office equipment
  • The importance of working as part of a team as well as using own initiative
  • Effective time management skills / ability to prioritise and plan conflicting and complex work demands
  • Minute taking
  • Excellent telephone manner with outstanding communication skills
  • Advanced keyboard skills, ability to navigate IT systems, incl Excel, Word etc

Job summary

To support the Bolton Urgent Care Teams in providing a comprehensive administrative service to the relevant administration teams.

The post holder will work within the Urgent Care Teams where extra admin support is required and will report to the relevant Administration Manager.

These duties may include (dependant on where the cover is required):
