Role summary
This role provides comprehensive secretarial and administrative support to the General Surgery team, handling patient and staff enquiries, and coordinating waiting lists and clinics. The successful candidate will have at least six months of medical secretary experience, excellent communication skills, and the ability to manage a varied workload in a fast-paced environment. Key responsibilities include typing medical correspondence, managing appointments, and maintaining accurate patient records. This is a full-time, fixed-term position for 12 months.
Key responsibilities
- Provide comprehensive medical audio and word-processing services, including typing clinic letters, minutes, discharge summaries, and medico-legal reports.
- Obtain medical notes to assist the clinical team with appointment management and referral tracking.
- Answer telephones promptly and politely, liaising with patients and relatives to provide routine information.
- Exercise judgement when dealing with enquiries, scheduling clinics, and managing diary commitments for the clinical team.
- Provide day-to-day supervision, mentoring, and on-the-job training to new or junior staff.
- Maintain accurate processing and storage of clinical records, including electronic waiting lists and data entry.
Essential criteria
- Educated to GCSE/O Level standard/equivalent
- RSA/OCR Level II or equivalent
- NVQ Level 3 (or equivalent)
- Word Processing/Audio typing Skills
- Excellent knowledge of the full range of Microsoft Office Programmes (i.e. Word/Outlook/Excel/PowerPoint)
- Experience working in an NHS office environment
- Experience dealing with non-routine issues such as problem solving, developing alternative or additional administrative procedures.
- Experience of planning and organising events e.g. MDTs and case conferences.
- Able to use own initiative and able to work with limited supervision, managing and prioritising own workload
- Ability to accurately maintain computerised and manual filing/documentation system
- Ability to supervise and motivate secretarial support staff
- Advanced knowledge of specialist medical terminology and secretarial procedures, many of which are nonroutine.
- Knowledge of internal PAS system
- Clear understanding of confidentiality and data protection issues
