Role summary

This is an administrative role within the UHBW Pregnancy Advisory Service, providing abortion care to people in BNSSG. The administrator will check patients in and out, act as a point of contact for queries, liaise with clinical and non-clinical teams, and manage patient referrals. The role also involves clinical coding and various administrative activities using multiple healthcare systems. Working hours are fixed on Wednesday and Thursday, and the role is permanently based at Tower Hill, not suitable for home working.

Essential criteria

  • Previous receptionist experience in a healthcare or public setting
  • Clerical/administration experience including filing and/or reception
  • Experience of dealing with the public, both on the telephone and in person

  • Empathetic, professional and non-judgemental manner when dealing with people, both on the telephone and face to face
  • Flexible approach to duties
  • Able to work under pressure and meet deadlines whilst maintaining a high standard of accuracy
  • Proven good organisational skills
  • Good IT skills including Microsoft packages
  • Confidence to handle difficult conversations with patients, relatives and carers
  • Attention to detail
  • Ability to work effectively in a busy team, adjust to change and motivate others
  • Ability to work independently and as part of a team
  • Able to respond to patient queries and escalate to the multi-disciplinary team when necessary
  • Qualifications and Training
  • Educated to GCSE, grade C or above (or equivalent) in English Language and Maths
  • Business and Administration Level 3 NVQ or equivalent experience

Job summary

This is a fantastic opportunity for a dynamic and enthusiastic individual to join our administrative team within the UHBW Pregnancy Advisory Service which provides abortion care to people in BNSSG.

Working Pattern: Wednesday 10-6 & Thursday 9.30-4.30

Main duties of the job

  • Check patients in and out of the clinic, maintaining a welcoming and non-judgemental environment.
  • To act as a point of contact for queries from clinical and non-clinical staff, and patients
  • Liaise with clinical and non-clinical teams across the Trust via telephone and email
  • Escalate patient queries, capacity problems and general issues to the role's line manager or relevant clinical staff as appropriate
  • Communicate changes to clinical team
  • Manage patient referrals
  • Carry out clinical coding and a variety of other administrative activities using multiple healthcare systems.
