Role summary
This is an exciting opportunity for a motivated and organised Perinatal Mental Health Administrator to join the Southwark Perinatal Community Mental Health Team. The role involves providing efficient administrative support, including processing referrals, managing outpatient clinics, and handling confidential information. The post holder will be the main point of contact for the service, dealing with telephone enquiries and supporting the team's administrative systems. This role requires on-site presence four days a week with one day of remote working.
Key responsibilities
- Provide a comprehensive administrative service to the Perinatal Mental Health Team.
- Process new referrals, distribute service user letters, and manage clinical staff diaries.
- Act as the main point of contact for the service, handling telephone enquiries and taking follow-up actions.
- Establish and maintain effective administration systems in liaison with the Business Manager.
- Organise and attend regular team meetings, taking and distributing minutes.
- Participate in managing health and safety issues, including reporting to estates and acting as fire warden.
Essential criteria
- Administration / Secretarial qualification or demonstrable experience
- Good Standard of general education including English and Mathematics
- Experience in an administrator/medical secretarial post/PA post
- Experience of dealing with difficult situations on the telephone and face to face with people
- Developing and maintaining administrative systems
- Good working knowledge of administrative/office systems
- Excellent written, organisational and planning skills
- Proficient in Microsoft Outlook, Word and Excel
Desirable criteria
- Experience of working within an NHS, MH or Social Services environment
- Experience of dealing with difficult situations on the telephone and face to face with people

Job summary
About the team:
The Perinatal Outpatient & Community Mental Health Service accepts referrals from Croydon, Lambeth, Lewisham, and Southwark Boroughs, as well as accepting referrals from other Trusts nationally.
The service receives approximately 600 referrals per year. There are several outpatient clinics each week, and an outreach service from Community Perinatal Specialist Clinicians.

The post holder will be responsible for providing an efficient, effective and well organised administration service to the Southwark Perinatal Community Mental Health Team.
The post holder will provide key duties such as on-site reception cover, processing new referrals, managing outpatient clinics etc., and must have experience of working with confidential information, effective organisation and can demonstrate good communication skills.
Working Monday - Friday, 9.00am - 5.00pm, you will be required to be on site 4 days a week with the flexibility of remote working one day a week.
