This role supports the Neonatology Team at St Michael's Hospital, specifically within the Neonatal Intensive Care Unit (NICU). Key responsibilities
- Ensure patient records are up to date and maintained, tracing case notes for clinic readiness.
- Check and sort investigation reports, passing information to the clinical team as required.
- Complete and file speciality-specific documentation appropriately.
- Carry out associated clerical duties such as maintaining filing systems, receiving post, diary management, and scanning patient notes.
- Support the maintenance and updating of all patients' referral to treatment pathways, including outpatient clinic outcomes and appointments.
- Liaise with and act as a point of contact for clinical and non-clinical staff, patients, relatives, and carers via telephone and email.
Essential criteria
- Educated to GCSE, grade C or above (or equivalent) in English Language and Maths
- Clerical / administrative experience including filing and/or reception
- Working knowledge of Microsoft office i.e. email and Ability to adapt to use new computer packages and programmes
- Ability to work effectively in a busy team, adjusting to change and motivating others
- Effective and polite manner when dealing with people, both face to face and on the phone
- Ability to work on your own, using your own initiative, if required
- Able to work under pressure and meet deadlines whilst maintaining a high standard of accuracy
- Effective organisational skills
- Attention to detail
- Experience of dealing with the public, both on the phone and in person, preferably in a reception/customer facing role
Desirable criteria
- Business and Administration Level 3 NVQ or equivalent experience
- Qualified in word processing or audio typing (or equivalent)
- Understanding of medical terminology
- Experience of using a Patient Administration System
- Previous NHS experience
- Working in a busy office environment

Job summary
This is a fantastic opportunity for a dedicated hardworking individual to join the Neonatology Team based at St Michael's Hospital. Our NICU has 31 cots providing a combination of intensive care, high dependency and special care facilities to babies that need extra care from birth to approximately four weeks post term. The successful candidate will help to support our busy unit with all administrative tasks from typing to staffing the ward's reception area. You will be working in a fast-paced environment as part of a friendly and supportive team. You will need to be able to effectively communicate with parents, clinicians, nursing staff and your peers to support the daily management of all administration duties.
Main duties of the job
