Role summary
This role involves providing day-to-day supervision, coordination, and operational support across practice sites, acting as a local representative for the Operations Manager. Key duties include supporting staff, ensuring smooth service delivery, escalating issues, and contributing to consistent standards. It's a development opportunity for experienced staff in care navigation or medical administration backgrounds. The Site Lead will help maintain safe, consistent, and effective service delivery by addressing operational queries and practical problems.
Key responsibilities
- Maintain visible operational supervision and coordination at the allocated site.
- Supervise allocated staff groups, including workload, standards, local priorities and practical day-to-day support.
- Support Care Navigation arrangements, patient flow, patient queries and immediate service concerns where relevant.
- Support document management, workflow, safeguarding administration, referrals and secretarial/admin processes where relevant to the postholders background and allocated responsibilities.
- Coordinate practical responses to IT, building, equipment, room booking, stock, facilities and local site issues.
- Monitor workload, delays, bottlenecks and work allocation, escalating repeated or significant concerns with factual examples and proposed solutions.
Essential criteria
- Good standard of English and Maths
- In depth care navigation or medical administration experience
Desirable criteria
- Supervision experience
- Knowledge of SystmOne clinical system

Job summary
We are looking to appoint two Site Leads to provide visible day-to-day supervision, coordination and practical operational support across our practice sites. The successful candidates will act as the local representative of the Operations Manager, supporting staff, helping services run smoothly, escalating issues appropriately and contributing to consistent standards across Ashbourne Surgery and Brailsford Surgery.
This is a development opportunity for experienced staff who are ready to take the next step into a supervisory role. We welcome applications from candidates with either of the following backgrounds:
- Care Navigation route: an experienced Care Navigator who understands front-of-house pressure, patient flow, appointment processes and day-to-day patient service issues
- Administration, document management or referrals route: an experienced medical administrator, medical secretary or referrals/document management colleague with strong knowledge of workflow, clinical administration, referrals, safeguarding administration or document handling
