Role summary

Key responsibilities
- Coordinate radiology waiting lists and appointment bookings for assigned imaging modalities.
- Manage scanner diaries, optimising appointment schedules to maximise capacity and utilisation.
- Monitor waiting lists, escalating capacity issues and supporting service performance.
- Contact patients by telephone, email, and letter to arrange, amend, or cancel appointments.
- Process cancellations, Did Not Attend (DNA) appointments, referral rejections, and pre-scan blood test requests.
- Liaise with radiologists, radiographers, clinicians, and other healthcare professionals to coordinate patient care.
Essential criteria
- Good Standard of General Education
- GCSE in English & Maths
- Ability to effectively communicate clearly and professionally both verbally and in writing to face to a wide range of people
- Ability to work under pressure and deal with challenging and stressful situations
- Excellent telephone manner, demonstrating professionalism and empathy
- Ability to prioritise workload efficiently to meet National Targets and service demands, ensuring compliance with waiting time standards
- Proficiency in IT systems and administrative software include patient record systems and Microsoft Office applications
- Fully conversant with patient confidentiality and the principles of data protection, demonstrating discretion and professionalism at all times
- Previous Clerical and Administrative experience including using IT systems to retrieve data
- Experience of working within a Call Centre or Customer Service environment or equivalent
Desirable criteria
- Knowledge of Medical terminology relevant to radiology and diagnostic imaging
- Knowledge of Hospital IT systems and electronic patient records (e.g. CRIS, Maxims, InPhase, Integra)
- Experience of attending patient tracking meetings, or working within a multidisciplinary team setting
