Role summary

This role supports the Biomedical Engineering (BEM) Department by managing estates assets, planned preventative maintenance (PPM), and staff training. The officer will use a Computer Aided Facilities Management (CAFM) system to schedule and monitor maintenance work, allocate resources, and issue tasks to engineers and contractors. The position also involves financial tracking, invoice processing, meeting organisation, and providing technical support to the front office team. It requires close cooperation with engineering and management staff to ensure efficient departmental operations.

Key responsibilities

  • Provide technical and administrative support to Hospital Engineers, including minute-taking and document circulation.
  • Monitor external contractor performance and report data to Hospital Engineers.
  • Respond to requests from other support departments like Fire, Health & Safety, and Compliance.
  • Interrogate completed PPMs, run reports, and issue tasks using the CAFM system.
  • Maintain statutory and performance records for engineering plant and services.
  • Produce various documents using relevant software packages and update staff records on Trust electronic systems.

Essential criteria

  • Educated to A level or NVQ level 3 Customer Service/ Business Admin /ITQ or equivalent experience.
  • Experience of working in a busy technical office environment or reception service.
  • Able to prioritise, plan and organise own tasks.
  • Able to work within guidelines.
  • Experience of dealing with difficult situations and confrontations.
  • Data entry experience and documentation.
  • Experience of IT packages - Microsoft office.
  • Experience of producing documents to a high standard.
  • Understanding of confidentiality and data protection.
  • Sound knowledge of office procedures.

  • Good working knowledge of Microsoft Office packages.

Job summary

The role of the Assistant Engineering Support Officer is to support the BEM Department in close cooperation with other Senior (BEM) Engineering and Management staff.

This role will encompass the day-to-day management of the estates assets, planned preventative maintenance (PPM) and training of estates staff. Support will also be provided to Engineers and Managers on contracted maintenance and tenders.

Using the Computer Aided Facilities Management (CAFM) system, PPM is effectively scheduled to prepare for upcoming planned maintenance work.

The role will liaise with Engineers and Managers to allocate resource for planned works. Issue work to Engineers, and Contractors via mobile devices/paper tickets. Monitor and report PPM Performance.

You will support the department with the receipting of invoices and recharges for maintenance works; working with Excel spreadsheets and CAFM systems to track finance spends; working with engineering teams to support contract information.

You will organise and schedule meetings with external contractors and engineers. Provide technical support to the front of office team by dealing with customers at the reception desk, updating online call support system, filing, data input, post and clock ca
