Role summary

This role involves coordinating outpatient clinics within the Corporate Division, ensuring optimal utilisation and providing performance data to consultants. The successful candidate will deliver a high-quality, efficient administrative service, focusing on the 18-week Referral to Treatment process. It requires excellent customer service skills and the ability to manage conflicting workloads in a busy environment. You will be part of a dedicated administrative team supporting patient care.

Key responsibilities

  • Provide a high quality, efficient and responsive administrative service in respect of the 18 week Referral to Treatment process.
  • Offer the highest standard of customer care to patients and other service users.
  • Provide a dedicated service to a designated specialty, working in partnership with consultants, secretaries and outpatient colleagues.
  • Keep outpatient clinics utilised to optimum levels.
  • Provide performance data to Consultants as requested.

Essential criteria

  • 4 GCSEs grade 4 or above including mathematics and English or equivalent e.g. level 2 literacy and numeracy qualifications
  • NVQ level 2/3 in Business Admin or other relevant subject.
  • Minimum of 1 years experience in a similar administrative role with a proven track record of achievement.
  • Excellent IT skills with a working knowledge of Microsoft IT applications
  • Basic knowledge of Booking systems
  • Good organisational and time management skills with the ability to prioritise conflicting workloads effectively
  • Ability to work in a pressurised working environment with frequent interruptions and change of work direction
  • Excellent communication skills and the ability to interact professionally with patients and the wider multi disciplinary team

Desirable criteria

  • OCR Level 3 keyboard skills (or equivalent measurable level of skills)
  • Knowledge and understanding of the 18 week Referral to Treatment standards and outpatient clinic management and booking processes
  • Administration experience within an NHS setting
  • Operational knowledge of iPM and e-RS

Job summary

An opportunity has arisen to appoint a self-motivated individual, with great interpersonal skills and a commitment to customer service, to work as an Outpatient Clinic Co-ordinator within the Corporate Division, covering a range of specialities, to deliver a first rate booking service to our patients.

Main duties of the job

To provide a high quality, efficient and responsive administrative service in respect of the 18 week Referral to Treatment process.

To offer the highest standard of customer care to patients and other service users, adhering to Departmental guidelines, Standard Operating Procedures and the Trust's Code of Values & Behaviour's.

About us

You will be joining a dedicated administrative team that supports patient care within the outpatient environment and provides a focal point liaising with patients, relatives and other staff groups, both by telephone and in person.

Good organisational/time management skills, customer service skills and the ability to prioritise conflicting workloads effectively are essential.

Experience of working in an NHS setting and working with the Electronic Referral Service and other clinical systems would be beneficial.
