Role summary

This role involves providing professional administrative support within the Cancer directorate, ensuring high-quality service to patients, relatives, and colleagues. Key duties include direct patient contact, handling appointments, managing communications via phone and email, and maintaining accurate patient information on Trust systems. The coordinator will also attend handover meetings and ensure all tests/treatments are booked, working Thursdays, Fridays, Saturdays, and rotational Bank Holidays.

Essential criteria

  • Educated to GCSE level or equivalent
  • NVQ level 2 Customer Service/ Business Admin /ITQ or equivalent experience

Desirable criteria

  • Typing qualification or equivalent
  • Experience of working in a busy office environment or reception role
  • Experience of prioritising, planning and organising own tasks
  • Working with guidelines
  • Experience of customer service or dealing with the public
  • Data entry
  • Experience of IT packages - Microsoft Office
  • Previous experience of working in the NHS
  • Experience of call handling
  • Experience of dealing with difficult situations and confrontations
  • Understanding of confidentiality and data protection
  • Understanding of customer service
  • Knowledge of the Trust including awareness of the Trust's priorities
  • Knowledge of Trust information systems
  • Knowledge of Medical Terminology
  • Ability to work as part of a team
  • Good communication skills including telephone, email and face to face
  • Ability to follow processes and procedures
  • High level of ability to organise and manage own time keeping to schedule and deadlines
  • Good organisational skills
  • Ability to meet deadlines
  • Willing to take on/learn new skills
  • Ability to show attention to detail and accuracy

Job summary

To deliver and maintain a professional administrative service to the Cancer directorate and all users patients, relatives and colleagues.

Monitor and produce work of the quality and quantity required ensuring expected Trust and department standards and deadlines are met and all appointments are within the Government and Trust target times.

Main duties of the job

Direct contact with patients.

Greet visitors face-to-face and respond to requests for a range of information.

Receive and respond to telephone calls dealing with a range of requests.

Receive and respond to emails for a range of requests.

Book appointments and transport.

Check patient information.

Photocopy and filing.

Input information on Trust systems.

Attend handover meetings as required taking notes when necessary.

Ensure all tests/treatments requested are booked.

Cover Thursdays, Fridays & Saturdays. Also Bank Holidays on a rotational basis.
