Role summary

This role involves leading the day-to-day booking operations for temporary bank and agency staff, ensuring efficient processing and compliance with Trust policies. Key responsibilities

  • Lead day-to-day booking operations for temporary staffing, ensuring compliance with Trust and National guidelines.
  • Maintain and update various booking systems (247, E-Rostering, TempRE) with accurate information.
  • Provide expert advice and guidance to managers on temporary staffing processes and resolve complex queries.
  • Supervise Senior Booking Assistants, including monitoring work completion, performance, and training.
  • Conduct regular audits of agency files and support project work to enhance service performance.

Essential criteria

  • oEducated to GCSE level (or equivalent) including English and Mathematics. oNVQ Level 3 in Business Administration, Customer Service, Management, or equivalent experience.
  • oSignificant administrative experience within a fast-paced office environment. oExperience of coordinating staffing, rota management, bookings, recruitment, or workforce processes. oExperience of dealing with complex queries, complaints, and customer service issues. oExperience of using multiple IT systems and databases to manage workforce information. oExperience of producing reports, analysing data, and maintaining accurate records. oExperience working to policies, procedures, and service level deadlines.
  • oUnderstanding of recruitment and employment-related legislation and good practice. oKnowledge of NHS Employment Check Standards. oKnowledge of confidentiality, data protection, and information governance requirements. oUnderstanding of customer service principles and complaint resolution. oKnowledge of workforce administration and record-keeping processes.
  • oExcellent organisational and time management skills. oStrong communication and interpersonal skills, with the ability to influence and build relationships at all levels. oAbility to prioritise competing demands and work effectively under pressure. oStrong problem-solving and decision-making skills. oCompetent in Microsoft Office applications, particularly Excel, Word, and Outlook. oAbility to accurately maintain databases and workforce information systems. oAbility to train, support, and develop team members. oStrong attention to detail and commitment to accuracy.

Job summary

Are you a proactive and customer-focused administrator looking to make a difference within one of the UK's largest acute teaching hospitals? We are seeking a motivated individual to join our Temporary Staffing Services team, supporting the safe and effective deployment of bank and agency staff across the Trust.

This is a fast-paced and varied role where you will coordinate staffing requests, process bookings accurately and efficiently, and ensure compliance with Trust policies, NHS standards and approval processes. Working closely with managers across clinical and non-clinical services, you will provide advice on temporary staffing procedures, resolve complex queries and deliver a high standard of customer service.

The successful candidate will have substantial administrative experience, excellent organisational skills and the ability to manage competing priorities. You will be confident building relationships with stakeholders, analysing workforce information, resolving problems and contributing to service improvement.
