Role summary
This permanent part-time Medical Secretary role involves providing confidential secretarial support to consultants and clinical teams. You will manage consultant workloads, diaries, correspondence, and track investigations, ensuring efficient service delivery. The position requires excellent administrative skills, the ability to prioritise, and adherence to national and local targets. You will work as part of a centralised team, supporting the Secretarial & Administrative Team in managing waiting lists and scheduling.
Key responsibilities
- Provide medical secretarial support to consultants and the department.
- Organise Consultant workload and manage diaries.
- Deal with office correspondence, including complaints and medical legal documents.
- Track investigations, perform general typing, and handle all enquiries.
- Ensure clear and concise communication with Support Secretary to manage patient pathways.
- Provide an efficient and high-quality service to support the Secretarial & Administrative Team in the management of all waiting lists, booking and scheduling.
Essential criteria
- educated to GCSE C/4 level or equivalent in Maths and English
- Previous waiting list management experience
- Experience as a medical secretary
- Experience of dealing with members of the public
- Working as part of a team
- Experience of working directly with Medical staff
- Experience of working to national standards and guidelines
- Experience working in an acute hospital setting
- Excellent communication skills (written, verbal & telephone)
- Excellent interpersonal skills in order to liaise with clinicians, senior managers, and clerical staff
- Appreciate the needs of patients, carers and healthcare staff
- Able to react to unpredictable issues; re-prioritising own workload
- Good keyboard skills for regular use of computer systems/IT Skills
- Familiarity with waiting list administrative procedures and policy issues
- Knowledge of the requirements of the referral to treatment
- competent in the use of Microsoft office
Desirable criteria
- NVQ3/RSA3 or equivalent
- AMSPAR or equivalent
- competent use of Lorenzo Patient Administration System or similar and ORMIS
- competent in the use of a digital dictation system
