Role summary

This is a maternity cover opportunity to join the administrative team for the Hepatobiliary (HPB) team. The role involves providing a specialised, comprehensive, and confidential patient-centred clinical administration and secretarial service to Consultants and their teams. You will act as a senior point of contact, managing enquiries and ensuring clinical documentation is up-to-date. The position also requires effective organisation of patient care pathways in accordance with local and national policies.

Key responsibilities

  • Act as a senior point of contact to effectively manage and resolve enquiries, informing relevant personnel and maintaining records.
  • Ensure all clinical documentation is up-to-date, orderly, and available for clinical decisions, collaborating with personnel for efficient administrative systems.
  • Organise all patients under the care of the consultant and team according to Local and National policy and targets, collaborating with various teams to ensure seamless patient pathways.
  • Maintain an efficient office management system, including managing consultant schedules, arranging meetings, composing minutes, and managing office equipment.
  • Support team members by demonstrating practices, providing training, cross-covering for colleagues, and offering day-to-day supervision.
  • Provide oversight to Support Secretaries for administrative activities like patient bookings and typing, and use hospital systems to manage workload and RTT patient pathways.

Essential criteria

  • oECDL or Equivalent experience oNVQ3 in Administration or equivalent oKey skills level 2 in literacy or equivalent
  • oExperience at secretary level or trainee secretary level oDecision making and resolving complex work-related issues
  • oThorough working in knowledge of Microsoft packages i.e. Outlook, Word, and Excel. oExcellent understanding of general office working procedures
  • oExcellent organisation skills oGood Presentation skills oAble to supervise support staff daily oSound decision making oExcellent level of verbal and written communication oAble to demonstrate good persuasion and influencing skills oAble to use judgement and initiative provide information and support oAble to apply tact and sensitivity to establish trust and confidence oEmpathetic approach to managing and resolving enquiries. oAble to manage difficult and distressing situations effectively. oAble to analyse problems and initiate appropriate solutions effectively oAble to compose and transcribe minutes, correspondence, and reports.
  • oMust be able to demonstrate behaviours consistent with the Trust's values.
