Role summary
This role involves processing all Imaging referrals efficiently using various IT systems like Order Comms/ICE, Medway, and RIS, ensuring compliance with government timescales. The coordinator will provide accurate examination information to patients and liaise with clinical staff to ensure correct appointment booking and high-quality service. Key responsibilities include maintaining system knowledge, registering patients, and monitoring rotas to prevent appointment cancellations.
Key responsibilities
- Receive and process all Imaging referrals efficiently and timely whilst helping to maintain National and Local standards.
- Maintain a good understanding of the Radiology Information System in order to create and locate imaging records to support patient care.
- Register patients on to the Hospital Medway system if no record can be found on RIS system prior to booking an appointment.
- Ensure all appointments are booked on the Radiology Information System (RIS) using the agreed, up to date, booking rules for each modality.
- Interpret all examination referral requests to ensure the correct examination is booked and an appropriate appointment with the correct preparation is sent out to the patient.
- Monitor all modality rotas for any changes to clinic/appointment times and adjust booking rules accordingly.
Essential criteria
- GCSE A-C (9-4) Grade English Language or equivelent
- ICDL / ITQ (Level 1-3) (or equivalent)
- GCSE Maths A-C (9 - 4) Grade.
- 12 months (min) proven previous administration working and skills
- 12 months (min) previous experience of dealing with telephone appointments and enquiries in a busy environment
- Previous experience in dealing with confidential and sensitive information
- Ability to work under pressure and remain calm
- Excellent communication skills to patients and staff at all levels
- Ability to prioritise workload
- Excellent telephone manner
- Excellent IT/keyboard skills
- Customer care skills
Desirable criteria
- NVQ Level 3 in Customer Services
- Previous experience in a hospital or similar healthcare environment
- Previous Call Centre working experience
- Working knowledge of RIS and Careflow
- Medical Terminology
- Knowledge of national waiting list and time targets/initiatives.
- Understanding of patient care pathway.
- Knowledge of the 18-week RTT pathway

Job summary
