Role summary
This is an exciting opportunity for a motivated individual to join the Referrals & Bookings team as a Clinic Administrator. You will provide a high-quality, patient-focused administrative service, managing new referrals and outpatient activity within required waiting times. Key tasks include organising appointments, maintaining accurate patient information, and supporting clinicians with clinic templates. The role also involves identifying and escalating capacity and waiting time issues. It is a busy and varied role requiring excellent administration and communication skills.
Key responsibilities
- Register and scan new referrals within 24 hours and maintain accurate patient information on relevant systems.
- Organise patient appointments and support clinicians with clinic templates, including cancellations and additional clinics.
- Liaise with referring Trusts regarding outstanding patient reports and Minimum Data Set requirements.
- Monitor patients approaching or exceeding accepted waiting times, prioritising clinical need and taking appropriate action.
- Escalate capacity, waiting-time, service risks and concerns promptly to the Assistant Service Manager.
- Undertake general administrative duties, including correspondence, filing, referral registration and appointment booking.
Essential criteria
- Secondary-level education GCSE Maths and English at C-grade or above, or equivalent
- RSA Stage II or equivalent experience
- Previous clerical and/or secretarial experience
- Experience of working with IT packages to include Word & Excel
- Evidence of working autonomously and as part of a team
- Confidence in dealing with professional groups
- Evidence of handling difficult circumstances e.g. customer complaints
- Knowledge of NHS administrative procedures
- Excellent written and verbal communication skills
- Ability to identify barriers to communication and adapt style/method accordingly
- Basic keyboard skills and IT literate
- Ability to prioritise workload
- Excellent interpersonal skills and telephone manner
- Ability to work unsupervised or as part of a team
- Knowledge and familiarity with a range of software including Word, Excel, database packages, e-mail and web browsers

Job summary

You will also identify and escalate capacity, waiting time and service issues in line with policies and procedures.This is a busy and varied role requiring excellent administration and communication skills. You will need to be enthusiastic, willing to learn, able to use your initiative and work effectively as part of a friendly, collaborative team.The service operates Monday to Friday, 8am-6pm, with occasional Saturday shifts, 9am-1pm, for which enhanced rates apply.
