Role summary
This role involves joining the Outpatient Appointments team as an Administration Officer, working closely with clinicians and administrative colleagues. Key responsibilities include managing patient RTT pathways, ensuring clinics are fully utilised and prepped, and handling telephone queries from both staff and patients. The successful candidate will need excellent interpersonal, communication, and administration skills to manage a busy workload.
Key responsibilities
- Accessing, retrieving, and processing referrals from the national ERS system, creating waiting list entries on System One, and ensuring correct clinic bookings.
- Scanning ERS referrals, accurately inputting data into SystmOne, PPM, and ERS, and sending referrals to consultants for triaging.
- Managing outpatient waiting lists daily, ensuring all new and review clinic appointments are correctly input and kept up to date.
- Ensuring all new and follow-up clinic appointments are scheduled in line with national waiting time targets and managing patient due/breach dates.
- Liaising with clinicians, colleagues, GPs, and managers to identify and redirect inappropriate referrals on the ERS system.
Essential criteria
- Good general standard of education including English and Maths grade A-C or equivalent
- NVQ Level 2 Business Administration or equivalent
- Relevant experience of administration/ clerical work within the customer service area.
- Experience of handling calls from the public
- Awareness of national waiting list targets/timelines and Trust policies on the management of waiting lists
- NHS Organisations and working practices
Desirable criteria
- ECDL
- NVQ 3 or equivalent in business admin
- OCR Level 3 or equivalent
- Previous hospital/GP surgery experience.
- Knowledge and experience of using the national ERS system and System One
- Experience of complex and difficult calls
- Dealing with complaints
- Knowledge of data protection
- Understanding of equality and diversity
- Knowledge of Caldicott guidelines

Job summary
We have two fantastic opportunities to join our Outpatient Appointments team as Administration Officers. Based in the main Outpatients Department, you will be required to work closely with clinicians and other administrative colleagues to ensure all clinics are fully utilised and prepped. You will also responsible for managing patients RTT pathways. You will be responsible for answering any telephone queries both from staff and patients.
