Role summary

This newly created role supports the Estates & Facilities team by maintaining accurate data within the Trust's CAFM system and other platforms. The analyst will ensure planned preventative maintenance schedules are correctly recorded, monitored, and reported to contribute to compliance, safety, and operational efficiency. They will work closely with Hard FM teams, contractors, and service managers to maintain data integrity, support reporting, and assist in system process improvements. The role requires an organised and proactive individual with excellent time management skills.

Key responsibilities

  • Maintain accurate CAFM records, including asset data, PPM schedules, and reactive maintenance logs.
  • Support reporting for compliance, performance, and audit purposes.
  • Work with internal teams and external contractors to ensure PPM tasks are completed on time and data is validated.
  • Monitor and escalate overdue tasks, onboard new assets and services, and provide first-line system support.
  • Assist with ordering and managing stock, tools, and equipment, raising orders in line with Trust SFIs.

Essential criteria

  • Experience in data entry, analysis, or facilities administration
  • Worked with databases, preferably including SQL
  • Understanding of PPM principles and asset management
  • An understanding of databases including SQL
  • Level 3 qualification in a relevant discipline or equivalent experience
  • Valid full British driving licence, Category B for ability to drive manual Trust vehicles
  • Must demonstrate evidence of: Strong Excel and data handling skills; attention to detail; ability to work independently and as part of a team

Desirable criteria

  • NHS or healthcare estates experience
  • CAFM system training or certification
  • European Computer Driving Licence (EDCL)
  • Advanced skills in Microsoft Office (Word, Excel & Power Point)
  • Experience with reporting tools (e.g., Power BI)
