Role summary

This permanent part-time role as a Clinical Office Administrator in the Respiratory department involves coordinating patient appointments, managing clinical correspondence, and supporting the administrative team. Key responsibilities

  • Use Powerchart daily to coordinate patient pathways, highlighting target dates for investigations/diagnostics.
  • Scan and file patient results, letters, and medical correspondence.
  • Liaise with the Appointments Centre to book, cancel, and rebook outpatient appointments.
  • Be responsible for sending out relevant appointment letters and managing follow-up appointments.
  • Check clinic letters for accuracy and ensure outcomes are actioned and recorded on Cerner.
  • Support Clinical Office Coordinators with their workload and manage changes in clinic templates.

Essential criteria

  • English GCSE Grade C or equivalent
  • Experience in managing appointments and clinical correspondence
  • Experience in handling confidential and sensitive information
  • Experience in liaising with multidisciplinary teams (consultants, nurses, admin etc)
  • Ability to deal with sensitive information
  • Ability to work under pressure
  • Ability to maintain discretion and maintain confidentiality at all times
  • Able to use initiative and judgement in daily tasks
  • Good written and verbal communication skills
  • Ability to work collaboratively within a team
  • Willingness to support colleagues during high workload periods

Desirable criteria

  • NVQ level 3 in Business Administration or equivalent
  • NHS experience
  • Experience using Surrey Safe Care
  • Experience working with waiting lists and patient tracking

An amazing opportunity has come up within the Respiratory department for an Clinical Office Administrator.

We're looking for a motivated Clinical Office Administrator to join us on a permanent basis. This role is central to our mission of delivering exceptional care, involving varied office tasks, coordinating appointments as per instruction, and working closely with our clinic office coordinators, pathway trackers, management and the extended Respiratory team to ensure a smooth administrative experience for our patients.

If you are a highly motivated individual who takes personal responsibility in what they do, whilst having a customer/patient focus with extensive secretarial or administrative experience gained in a busy environment, then we would love to hear from you.

Main duties of the job

  • Using Powerchart on a daily basis, liaise with the Patient Pathway Team across the Trust as a whole, to ensure co-ordination of all elements of the patient pathway.
