Role summary
This role is for an organised and proactive Team Based Administrator to join the Children's Physiotherapy Team. You will coordinate the patient journey from referral to discharge, manage appointments, and maintain clinical records. Essential criteria
- Achieved or working towards an NVQ level 4 or related management qualification
- Good standard of general education in Maths English - GCSE or equivalent
- Customer care training
- Data protection training
Desirable criteria
- ECDL
- UK Driving licence and access to a vehicle
- Experience working in an administrative or customer service role
- Experience dealing with the public (face to face or telephone)
- Previous experience of working within the NHS
- Experience of using RiO or a patient clinical system

We have an exciting opportunity to join our Children's Physiotherapy Team as a Referral to Discharge Coordinator, playing a vital role in supporting the delivery of high-quality paediatric physiotherapy services across MPFT.
This is a key position within the team, responsible for coordinating the patient journey from referral through to discharge, ensuring children and families receive a responsive, efficient and compassionate service. Working closely with the Paediatric Physiotherapy Team Leads, Physiotherapists, Physiotherapy Assistants and the wider multidisciplinary team, you will help ensure that patients are seen at the right time, in the right place, by the right clinician.
Main duties of the job
You will:
- Manage and coordinate the paediatric physiotherapy referral process from receipt to discharge.
- Monitor waiting lists and clinic capacity to support achievement of service targets.
- Schedule appointments and ensure urgent referrals are prioritised appropriately.
- Act as a key communication point between families, clinicians, secondary care providers and external agencies.
