Role summary

This is a full-time Band 3 Medical Support Secretary role within the Cellular Pathology Department. The successful candidate will provide comprehensive administrative and audio-typing services, supporting Non-Gynaecological Cytology and Histopathology. The role requires an enthusiastic, organised individual with excellent communication skills, capable of working independently and prioritising workloads in a fast-paced environment. It involves managing clinical correspondence, departmental enquiries, and maintaining records to ensure efficient service delivery.

Key responsibilities

  • Provide comprehensive secretarial and administrative support to Consultant Pathologists, junior medical staff and the wider Cellular Pathology team.
  • Produce accurate clinical correspondence and reports through audio typing, digital dictation and copy typing.
  • Manage departmental enquiries and shared mailboxes, maintain records, and support meetings.
  • Input data onto relevant systems and assist with general office duties.
  • Ensure appropriate follow up arrangements/investigations are in place and complete tertiary referrals.
  • Mentor, train and supervise relevant junior staff as required.

Essential criteria

  • Educated to GCSE/O Level standard/equivalent
  • RSA/OCR Level II or equivalent
  • Word Processing/Audio typing Skills
  • Knowledge of medical terminology and secretarial procedures
  • Excellent I.T. skills with knowledge and experience of all Microsoft office packages
  • Experience working in an NHS office environment
  • Excellent communication skills
  • Able to use own initiative and respond to new challenges
  • Self motivated and able to work with limited supervision
  • Manage/prioritise own workload
  • Ability to accurately maintain computerise and manual filing/documentation system
