Role summary

The Estates Maintenance Coordinator provides administrative and operational support to the Estates Maintenance Team. This role involves coordinating planned and reactive maintenance services across Trust sites, ensuring a safe and efficient estates function. Key duties include task coordination, record maintenance, contractor management, and supporting financial processes. The successful candidate will work with Trust staff, contractors, and suppliers to facilitate maintenance works and contribute to a positive environment.

Essential criteria

  • GCSE English and Maths at Grade C / 4 or above, or equivalent.
  • Educated to / working towards NVQ Level 4, equivalent qualification, or able to demonstrate equivalent knowledge and experience.
  • Competent in the use of Microsoft Office applications, including Word, Excel and Outlook.

Desirable criteria

  • Qualification in business administration, estates administration, facilities management or a related subject.
  • Building or property maintenance knowledge
  • Training in procurement, finance systems or contractor management
  • Experience of working in an administrative or coordination role within a busy operational environment.
  • Experience of maintaining records, databases and systems with a high degree of accuracy.
  • Experience of ordering goods or services, processing invoices or supporting financial administration.
  • Experience of liaising with a range of internal and external stakeholders, including contractors or suppliers
  • Experience of working within NHS Estates, Facilities, property or maintenance services.
  • Experience of supporting audit activity, contractor coordination or compliance records.
  • Experience of using estates or finance systems such as Concept or Oracle.
  • Able to communicate effectively both verbally and in writing.
  • Able to organise and prioritise workload, working to deadlines and managing competing demands.
  • Able to work on own initiative and as part of a team
  • Able to maintain accuracy and attention to detail when handling records, orders and financial information
  • Able to produce routine reports and analyse straightforward service information
  • Able to support local inductions, monitor completion of routine actions and follow up outstanding tasks

Estates Maintenance Coordinator - NHS AfC: Band 4

We are seeking an Estates Maintenance Coordinator to provide administrative and operational support to the Estates Maintenance Team across Bradford District Care NHS Foundation Trust.

Working under the direction of the Estates Maintenance Manager, the post holder will support the delivery of planned and reactive maintenance services across Trust sites, helping to ensure a safe, efficient and responsive estates function. The role involves coordinating maintenance activities, maintaining records and systems, and supporting contractor and supplier management in line with Trust policies and health and safety requirements.

The successful candidate will work with Trust staff, contractors and suppliers to support maintenance works and contribute to a positive environment for patients, staff and visitors.

Key duties include coordinating maintenance tasks, supporting contractor inductions, maintaining stock levels, ordering supplies, updating the task allocation system, raising purchase orders, checking invoices, maintaining records, and supporting performance and financial monitoring.

This is an excellent opportunity for an organised individual with strong administrative and coordination skills who can manage competing priorities and build effective working relationships.
