Role summary

This Project Assistant role supports Staff Health & Wellbeing and Colleague Experience within the Organisational Development Service. It involves providing high-quality administrative, coordination, and communication support to foster a positive workplace culture and enhance staff experience. Key duties include managing queries, organising meetings, coordinating events, and assisting with staff surveys and internal communications. The role is fast-paced and requires an organised individual passionate about improving colleague experience.

Essential criteria

  • Experience acting as a first point of contact and handling a high volume of queries via phone, email, and face-to-face
  • Experience organising meetings, booking venues, and taking accurate minutes or action notes
  • Experience of managing shared email inboxes and maintaining electronic and paper filing systems.

Desirable criteria

  • Experience of supporting the facilitation of training
  • Experience of working in a supporting role in specialist Human Resource areas including such as, Health and Wellbeing, Learning and Development or Organisational Development
  • Experience using survey platforms or data collation tools.
  • Podcasts/blogging/digital media
  • Excellent written and verbal communication skills, with the ability to communicate effectively and clearly with staff at all levels.
  • Strong organisational and time-management skills, with the ability to prioritize a varied workload and meet strict deadlines.
  • Ability to provide administrative support to meetings, such as preparing minutes and maintaining an accurate action log.
  • Qualifications/Knowledge
  • Evidence of Secondary education or equivalent.
  • Evidence of recent continuous professional development.
  • Clear understanding of data protection, confidentiality, and information governance principles.
  • Familiarity with NHS systems (such as the Electronic Staff Record - ESR).
  • Basic understanding of the core themes within the NHS People Promise and why staff engagement is critical in a healthcare setting

Job summary

Project Assistant - 28 hours

The Project Assistant plays a key role in supporting the Staff Health & Wellbeing and Colleague Experience portfolios within the Organisational Development Service. The role focuses on delivering high-quality administrative, coordination and communication support that helps create a positive workplace culture and enhances staff experience across the Trust.

You will act as a first point of contact for the Inclusion and Colleague Experience Team, managing shared inboxes, responding to queries, organising meetings, taking minutes, maintaining records, and supporting the delivery of wellbeing, engagement and inclusion initiatives. The role also involves coordinating events, assisting with staff surveys, supporting internal communications, managing social media messaging for wellbeing campaigns, and helping facilitate key engagement activities such as focus groups, welcome sessions and long-service celebrations.

This is a varied and fast-paced role suited to someone highly organised, confident communicating with staff at all levels, and passionate about improving colleague experience. You will work collaboratively across departments, contribute to project delivery, and help ensure staff have access to the resources, support and opportunitie
