Role summary
This role provides project, operational, technical, and administrative support to the Project Office, ensuring successful project delivery within identified timescales. It involves developing, maintaining, and filing project documentation according to department standards. The officer will maintain professional relationships with suppliers and team members, acting as a point of contact for project enquiries. The position also requires taking initiative to complete specific key work projects and tasks.
Key responsibilities
- Co-ordinate and/or support the effective taking of minutes and transcription for Project meetings, and prepare and distribute agenda and supporting documentation.
- Develop and maintain good working relationships across the Trust.
- Work under pressure, use own initiative, and assist the Directorate's Board Members/Senior Management Team with workloads.
- Provide efficient customer service, welcoming visitors and dealing with enquiries.
- Undertake effective electronic diary management, including arranging meetings/conferences and travel.
- Assist Project Managers in developing and delivering projects on time and to budget, and with day-to-day project management duties.
Essential criteria
- ALL sections of application form FULLY completed
- Educated to GCSE level or NVQ level 2
- Works with a high level of keyboard skills as a minimum ECDL or equivalent experience.
- High level knowledge of Microsoft Office applications
- Knowledge of Project Support and administrative procedures
- Minimum 1 years previous experience of project support, IT infrastructures and procedures, preferably within the NHS Capital Works Departments.
- Experience of projects and team administration, including version control and maintenance of Risk and Issues Logs
- Experience of developing agendas and maintaining action logs
- Experience of uploading tenders and works orders.
- Proven organisational, administrative and planning skills to support the set-up, management and development of the project logs, prioritising the project tasks and associated work streams, as directed by the Project Team
- Experience of working with clinical staff, senior managers and leaders
- Understanding of the principles of project management.
- Understanding of organizational development
- Confidentiality and tact necessary for dealing with the most senior level and the most complex and sensitive information
- Proven organisational and planning skills
- Ability to present data in a clear and understandable format
- Ability to work under pressure, whilst meeting deadlines
- Minute taking experience/skills
- Excellent communication, presentation and interpersonal skills together with the ability to liaise with a range of stakeholders.
- Building effective relationships, this includes developing interpersonal, negotiation and influencing skills
- Proven team worker with ability to motivate others
- Must be flexible to meet project needs
- Understands and clarifies detailed instructions
- Must be able to work within agreed parameters and with minimal supervision
Desirable criteria
- Evidence of continued professional development
- NEC and CDM 2015 qualifications
- Educated to A level/diploma level 3, Foundation Degree or equivalent experience or competencies
- High level knowledge of Microsoft Office applications (including Microsoft planning software, project, and other software with project documentation)
- Minimum 2 years' experience in an project support role including at least 1 years' experience in a specialism
- Experience of working in an NHS environment, preferably in more than one type of organisation.
- Experience of co coordinating works packages and work force
- Experience of dealing with general construction trades such as electricians and mechanical engineers.
- Basic engineering understanding
- Understanding of the NHS structure, strategy, vision and policy
- A good understanding of the operation of NHS organisations and good working knowledge of other organisations that impact on them
- Ability to communicate technical information to staff
- Aware of own strengths and development needs

Job summary
Provides project, operational, technical and administrative support to the Project Office to ensure successful delivery of projects to the timescales identified within the project plans. Develops, maintains and files project documentation in accordance to the department's standards. Maintains a professional working relationship with system suppliers, project and implementation team members and end users, and is a point of contact for project enquiries from end users and project key stakeholders. May provide training to key project team members required to ensure effective management of Project plans, project documentation and reports and risk and issue logs.
To have responsibility for specific key work projects/tasks, and will be required to act on their own initiative to see these through to a timely conclusion.
