Role summary
This role is for a proactive Outpatient Team Leader to coordinate administrative staff and clinic activity within a busy NHS service. You will supervise a team of coordinators, manage clinic processes, and ensure efficient service delivery and positive patient experiences. The position requires strong administrative, coordination, and people management skills, with a focus on maintaining high standards and continuous improvement.
Key responsibilities
- Provide day-to-day supervision and guidance to the team.
- Oversee clinic management and regeneration processes.
- Coordinate clinic rotas.
- Ensure outcome processes are completed accurately and efficiently.
- Train and support staff to maintain high standards.
- Communicate regularly with patients and healthcare professionals.
Essential criteria
- Clerical / administrative experience, including filing and / or reception
- Experience of dealing with the public, both on the telephone and in person
- Line management experience of administrative staff in a healthcare or customer-facing environment, including supervision, performance monitoring and staff development.
- Effective and polite manner when dealing with people, both face to face and on the phone
- Able to work under pressure and meet deadlines whilst maintaining a high standard of accruracy
- Ability to work effectively in a busy team, adjust to change and motivate others
- Ability to work independently whilst managing others in a team environment
- Confidence to handle difficult conversations with patients, relatives and carers
- Effective organisational skills
- Good IT skills including Microsoft packages
- Attention to detail
- Educated to GCSE, grade C or above (or equivalent) in English Language and Maths
- Business and Administration Level 4 NVQ or equivalent experience

- Experience supporting urgent or cancer pathways (e.g., 2WW / fast-track) and understanding of MDT processes.
- Knowledge of excel
- Working knowledge of outpatient policies and procedures.
