Role summary

This role provides administrative support to the Community Therapy Team - North, which offers clinical interventions to support rehabilitation and prevent hospital admissions. The post holder will help with the day-to-day running of the service, including ordering supplies, managing data, and handling correspondence. They will also assist with meetings and maintain office systems to ensure effective outcomes for patients.

Key responsibilities

  • Support the team in day-to-day running, including ordering PPE and consumables, recording caseload data, and answering phones.
  • Word process reports and letters, draft routine correspondence, and take formal meeting minutes.
  • Maintain and update IT and Maintenance databases for Team issues.
  • Keep office systems up to date, devise and maintain efficient filing and clerical systems.
  • Help with meetings and write up notes, attending daily MDT meetings as Admin support.
  • Receive and sort internal and external mail, dealing with each appropriately.
  • Order and maintain adequate levels of stationery and equipment, authorised by the Lead.
  • Maintain expected standards of office safety and security.
  • Add to SystmOne and discharge when the service has completed treatment.

Essential criteria

  • General standard of education to GCSE level or equivalent
  • NVQ level 2 or equivalent (Health and social care or business administration)
  • Recent secretarial or administrative experience
  • Evidence of consistent pattern of learning from education, training and experience
  • Experience of typing and producing documents e.g. letters and reports
  • Flexible approach to working
  • An understanding of the principles of equal opportunities in relation to staff and patients
  • Willingness to undertake training to develop within the role
  • Able to use time effectively and prioritise work through good organisational skills
  • Able to maintain confidentiality and deal with sensitive information
  • Able to use recognised IT packages e.g. Microsoft Office including Excel
  • Able to use IT systems and keyboard skills including accurate data recording skills
  • Able to use strong interpersonal skills and appropriate empathetic and tactful manner
  • Able to communicate effectively with customers, carers and health care specialist service and colleagues
  • Able to work effectively as individual but also as part of a larger team

  • Experience of working in a health or social care setting
  • Experience of data inputting, databases, spreadsheets
  • Experience of ordering supplies and maintaining stock
  • Car Driver (valid Driving License for use in the UK), unless under the Equality Act
  • Access to a vehicle for work purposes

Job summary

The Community Therapy Team - North provides clinical interventions by a team of Physiotherapists and Occupational Therapists alongside therapy support staff following an assessment of needs, to support rehabilitation and preventing hospital admission.

The service receives referrals from a range of health and care professionals and triages, assesses and provides intervention to the patient to ensure the patient can remain safely and independently at home.

The post holder will provide administrative support to the service to ensure the effective day to day running and outcomes for patients.
