Role summary

This role provides confidential and comprehensive administrative support to the Dementia Outreach Team within the Mental Health Acute and Crisis Service. The post holder will ensure the smooth operation of general office functions, contributing to efficient service delivery and presenting a professional image. It involves managing and prioritising workloads, using initiative, and potentially providing administrative cover for other bases. The role requires strong organisational skills and excellent knowledge of administrative procedures and IT systems.

Key responsibilities

  • Provide a confidential and comprehensive administration service to support the Dementia Outreach Team.
  • Assist in the smooth operation of all general office functions to ensure an efficient and good quality service to patients.
  • Contribute to the achievement of efficient service delivery.
  • Manage and prioritise own workload and use own initiative.
  • Work as a member across the integrated administrative team providing extensive administrative support.
  • Seek improvement of administrative policies and procedures, providing co-ordination of activities to support change.

Essential criteria

  • Educated to O Level / GCSE Grades A-C or Level 4, in English or equivalent good standard of general education.
  • Experience of administrative work.
  • Previous experience of working in a constantly changing environment without direct supervision.
  • Experience of working in a customer-focussed environment.
  • Previous experience of maintaining record systems and collating information
  • Demonstrate well developed skills in the use of Windows based packages e.g. Word, Power Point, Outlook, Teams, Excel.
  • Demonstrate accurate and tidy presentation of work. Ability to input accurately onto patient record systems.
  • Excellent communication skills across all levels and disciplines both internally and externally, verbal and written.

Desirable criteria

  • Completion of NVQ 3 in Business Admin or equivalent proven experience at this level.
  • RSA 2-word processing/typing or equivalent proven experience
  • Previous experience of working within the NHS.
  • Previous experience of minute taking and servicing meetings.
  • Previous experience of clinical recording systems e.g. Systm One

Job summary

The post holder will provide a confidential and comprehensive administration service to support the Dementia Outreach Team, presenting a professional image at all times. On occasion there will be an expectation to provide efficient and effective administrative cover for other close-by bases.
