Role summary

The ward clerk provides reception services and high-standard customer care to patients and visitors. This role involves accurately collecting, verifying, and inputting patient demographic and treatment data into the patient information system. The post-holder will also undertake administrative tasks to support ward operations and ensure the smooth delivery of patient care. It is a non-clinical role but requires working as part of a multi-disciplinary team.

Key responsibilities

  • Record all patient admissions, discharges, transfers, and deaths accurately on the WPAS system.
  • Provide a professional, helpful, and courteous reception service for patients, relatives, and visitors.
  • Handle difficult situations and anxious family members/carers with judgment, initiative, empathy, tact, and diplomacy.
  • Answer telephones, take messages, and refer queries appropriately.
  • Provide confidential general administrative support to the ward, including typing reports, data entry, and taking minutes of meetings.

Essential criteria

  • BA NVQ level 3 or equivalent experience
  • Knowledge and understanding of clerical procedures and systems
  • Relevant experience of providing a comprehensive clerical / administrative service
  • Excellent communication skills
  • Ability to prioritise workload
  • Be able to use judgement and initiative to deal with difficult / sensitive situations
  • Ability to speak Welsh at level 3
  • Ability to multitask

  • Previous experience of working within the NHS or in a healthcare setting

The ward clerk is responsible for providing a reception service to the ward and delivering a high standard of customer care to a wide range of groups.

The ward clerk must play a proactive role in collecting, investigating, verifying and recording a high standard of patient demographic and treatment data. Such information must be accurately inputted in the patient information system.

The post-holder must undertake effective forward planning to ensure that the administrative needs of the service are met and must carry out a range of effective administrative processes to support the delivery of high quality patient care.

Main duties of the job
