Role summary

This is a fixed-term Senior Medical Secretary role covering maternity leave within the Specialist Medicine Department. The successful applicant will manage patient pathways, including outpatient and inpatient waiting lists, scheduling appointments, and handling administrative tasks like diary management and clinical letter transcription. The role requires strong organizational, IT, and communication skills, working effectively within a multi-disciplinary team. Medical secretarial and admin experience is essential.

Key responsibilities

  • Manage outpatient and inpatient waiting lists, including arranging elective admissions and booking patients onto theatre lists.
  • Validate patients' RTT pathways and reschedule appointments.
  • Take minutes for Clinical Governance meetings as required.
  • Perform diary management for clinical staff.
  • Conduct audio transcription and word processing of clinical letters.
  • Produce reports and other correspondence for the Specialist Medicine services.

Essential criteria

  • Experience to prioritise and manage a diverse workload
  • Literacy and Numeracy
  • Ability to communicate in English both verbally and in writing at a high level
  • Ability to achieve thoroughness and accuracy when accomplishing a task
  • Understanding of Information Governance and Confidentiality.
  • Sound knowledge of Microsoft Office packages, including Excel and Power-point, internet, e-mail etc...
  • Knowledge of Patient Administration System (or equivalent system)

  • Educated to GCSE standard (or equivalent)

  • Previous Medical Secretarial Experience
  • Experience in developing and implementing administrative systems, processes and procedures

  • Advanced secretarial qualifications
  • Vocational qualification level 3 or equivalent
