Role summary
This role is for an enthusiastic and conscientious Band 3 Clinical Support Team Administrator to support the Autism Intensive Support Team (AIS). It involves a range of administration duties to support clinical teams and service users. The successful candidate will handle calls, liaise with service users and colleagues, perform data entry, typing, minute taking, and general office duties. Experience in administrative tasks and systems, with a dedication to confidentiality, is essential.
Key responsibilities
- Handle calls and liaise face-to-face with service users and colleagues.
- Perform data entry, typing, and minute taking.
- Carry out filing and other general administrative office duties.
- Demonstrate exceptional interpersonal and customer service skills.
Essential criteria
- NVQ 3 Business Administration or equivalent or working towards.
- Pitman/RSA III Typing / Word Processing or equivalent secretarial experience at intermediate level.
- NVQ 2 Customer Services or working towards.
- Understanding and experience in a full range of secretarial procedures and systems gained through practice at intermediate level.
- Working under pressure and working on own initiative with minimal supervision
- Ability to work with senior members of staff across a large organisation.
- Excellent articulate communication skills.
- Interpersonal skills including taking a proactive diplomatic approach and ensuring confidentiality at all times.
- Ability to prioritise.
- Ability to co-ordinate and prioritise management diaries.
- Working knowledge of Microsoft packages or equivalent.
- Maintaining administrative / secretarial systems
- Able to work flexibly across a range of different sites/offices
Desirable criteria
- Shorthand
- Knowledge of Trust electronic record system
- Staff supervision / appraisal process
- Knowledge of NHS policy / procedures.
- Knowledge of medical terminology
