Role summary
This is an administrative role supporting the Occupational Health WorkFit Project, a pilot service for staff with musculoskeletal conditions. The administrator will lead the administrative functions for the WorkFit Team across Birmingham and Solihull Trusts, managing appointments, referrals, and records. The role requires excellent IT and communication skills, autonomy, and strong organisational abilities to ensure smooth service delivery and compliance with data protection. It's an opportunity for someone with strong admin skills interested in staff health and wellbeing.
Key responsibilities
- Provide comprehensive administrative support to the WorkFit Service.
- Manage appointment bookings, referrals, and clinic schedules.
- Maintain accurate and confidential employee health records.
- Respond to telephone and email enquiries professionally and timely.
- Assist with audits, data entry, and reporting requirements.
- Prepare meeting agendas, take and distribute minutes for service meetings.
Essential criteria
- Educated to CGSE C or equivalent including English and Maths
- Experience of undertaking a range of administrative duties
- Experience of working within NHS environment
- Good working knowledge of Microsoft Office applications including Word, Excel, Outlook and Sharepoint
- A sound understanding of the NHS and the role data protection plays for healthcare workers
- Strong written and verbal communication skills, with the ability to communicate effectively at all levels
- Good organisational skills to ensure work is completed on time with strong attention to detail
- Able to work autonomously with minimal supervision
- Organised with the ability to prioritise tasks and work under pressure in a fast-paced environment with ability to ensure work is completed on time with attention to detail
- Excellent customer care skills
- Excellent telephone manner with the ability to address sensitive issues calmly
- Strong team ethic, with the ability to work both independently and collaboratively.
Desirable criteria
- NVQ Level 3 or equivalent qualification in administration or relevant experience
- Experience of working with Occupational Health processes
- Secretarial experience
- Experience of minute taking/meeting organisation

An exciting opportunity has arisen for a committed, enthusiastic and highly motivated administrator to join our Occupational Health WorkFit Project, a pilot service to support staff who are experiencing musculoskeletal conditions. We are seeking an organised and proactive committed individual who will contribute to the positive, can-do approach of our team.
