Role summary
This Administrator role supports the Integrated Care Coordination for Urgent Care service in Hanley, Stoke-on-Trent. The service acts as a single point of access to help patients remain at home and prevent unnecessary hospital admissions. The post holder will provide essential administrative support, including call handling, referral processing, and various clerical duties. The role requires covering a 7-day period, 365 days a year, including weekends and out-of-hours.
Key responsibilities
- Deal with referrals from various healthcare and social care professionals by telephone or electronic formats.
- Provide non-clinical advice, information, and guidance to healthcare and social care practitioners.
- Support with the preparation of documentation, including agendas and meeting minutes.
- Collect and input statistical information, ensuring reports are delivered within timescales.
- Make bookings and cancellations for training, rooms, and interpreters.
- Receive, sort, and distribute internal and external mail, escalating important information promptly.
- Validate data from clinical systems to ensure high levels of data quality.
Essential criteria
- Good standard of general education including English and Maths at GCSE Grade C or equivalent or Functional skills (English and Maths) Level 2
- RSA Stage III Word Processing / Text Processing or equivalent
- ECDL/CLAIT IT qualification or equivalent
Desirable criteria
- NVQ/ Level 3 Business administration
- Relevant experience in administration support role including dealing with telephone enquiries / referrals in a timely manner
- Previous experience of data input
- Demonstrable ability to manage time effectively
- Experience of using Rio
- Experience of dealing with sensitive/distressing issues
- Administrative experience of working in a healthcare service
- Previous Call handler or equivalent experience

Our service is expanding and we are offering an exciting opportunity to support Staffordshire and Stoke on Trent Urgent Care needs. We are looking for Administrators to join our Integrated Care Coordination for Urgent Care service based in Hanley, Stoke-on-Trent to provide administration support and receive and action referrals.
The primary aim of the Integrated Care Coordination (ICC) for Urgent Care is to be a single point of access to support patients to remain in their own home to prevent unnecessary admission to acute care and to facilitate collaborative Multidisciplinary Team (MDT) management for patients closer to home.
You will play an integral part of the team by providing effective and efficient call handling, You should be highly skilled in administration and demonstrate keen self-management skills to enable them to provide an effective and efficient high-quality service.
