Role summary

This is an exciting opportunity for an enthusiastic and motivated individual to join the Operations Team as a Junior Operations Manager for the Outpatients Transformation Programme. The role involves supporting the delivery of national Outpatient targets and providing administrative support to the wider division. You will work with various stakeholders, leading the development of an efficient, effective, and high-quality patient-focused service. Good communication skills and the ability to work under pressure are crucial for this role.

Key responsibilities

  • Support the implementation and optimisation of the Trust's Outpatients Transformation Programme, including PIFU-first, follow-up reduction, new referral management systems, and digital referral optimisation.
  • Provide administration support and cover to the Outpatient Transformation Clinical Service Support Manager (CSSM), including organising and minuting meetings and workshops.
  • Accurately record formal minutes, capturing decisions, actions, risks, and next steps, and maintain action logs and registers.
  • Support the wider division as directed by the line manager, which may include filling lists for appointments and supporting PAS-related enquiries.
  • Support with managing short notice fill rates to improve outpatients utilisation.

Essential criteria

  • Evidence of continuing professional development Management qualification or equivalent experience, Working knowledge across a range of work procedures including RTT.
  • Experience of working in an administrative role within a busy environment. Information Collection, Processing & Analysis Working in an NHS/clinical environment e.g. hospital, GP surgery, CCG Improving services either clinical or administrative demonstrating sustained change. Experience of process or pathway mapping.
  • Thorough understanding of NHS performance targets, Knowledge of patient flow, Knowledge of project Management tools/methodologies
  • Excellent planning & organisational skills, Ability to prioritise workload to respond to changing demand, Ability to liaise and communicate with staff, Excellent interpersonal & communication skills inc. demonstrating empathy & sensitivity to patients and relatives, Ability to promote good working liaisons (staff, patients, relatives), Extracting information / Listening Skills, Ability to handle complex enquiries - distressed & anxious patients, Ability to deal with challenging behaviour, Knowledge of IT databases and computer systems, Advanced PC skills - databases, word-processing, email, Excel Understanding of hospital IT systems, Knowledge of PAS or equivalent information system, Proven strong administration skills, Excellent telephone manner, Able to work independently, with minimum supervision, Proven ability to motivate staff and encourage team work, Ability to engage and influence staff within their area of responsibility

  • Project management qualification. Awareness of National Outpatient priorities/GIRFT.

Job summary

An exciting opportunity has arisen for an enthusiastic and motivated individual to join the Operations Team as a Junior Operations Manager for our Outpatients Transformation Programme.

This would be an excellent opportunity for someone wishing to progress their career within the NHS. You will be working with a wide range of stakeholders including the Associate Director of Operations, Operational Support Managers, Administrative teams, Clinicians, the EPR Programme team and external third party stakeholders. Reporting to the Outpatients Transformation Clinical Service Support Manager(CSSM), the post holder will work to operationally support the delivery of national Outpatient targets and provide administrative support to the wider division.
