Role summary

This role involves providing high-quality administrative support for Consultants and medical staff, specifically coordinating theatre bookings for urology patients. The post holder will monitor consultant timetables, communicate admission information to patients, and ensure theatre sessions are booked efficiently to meet waiting time targets. It requires liaising with various teams like pre-assessment, anaesthetists, and theatre staff to facilitate timely admissions and equipment arrangements.

Key responsibilities

  • Provide full secretarial and administrative services for theatre bookings to the Consultant and their team.
  • Manage the Consultant's diary for theatres and schedule procedure dates.
  • Maintain an overview of the consultant and team timetable to ensure full utilisation of theatre availability.
  • Arrange special investigations and action issues from pre-assessment appointments.
  • Process requests for diagnostics and follow-up appointments in a timely fashion.

Essential criteria

  • Good standard of general Education including English Language, maths of GCSE or equivalent
  • Able to demonstrate from previous employment history evidence of job related achievements and success
  • Experience/ Knowledge of the 18 week pathway
  • Well written Supporting Information with good examples of skills

Desirable criteria

  • Customer Care Training or similar
  • Formal secretarial/senior administration training
  • NVQ2 or equivalent plus relevant experience
  • Good insight into the importance of NHS performance and quality standards
  • NHS experience in an Acute Trust
  • Previous experience of using databases
  • Ability to analyse complex situations and make appropriate decisions

Job summary

The post holder must ensure the provision of high-quality patient care by providing an efficient and effective administration service for the Consultants, designated Medical Staff and other health care professionals.

To monitor the timetable of the consultant and registrars, taking an overview of the co-ordination of theatre commitments. To communicate admission related information to patients and/or carers.

To support the administrative pathway ensuring patients are seen within the mandatory waiting time targets and book theatre sessions to full capacity to make sure utilisation is meeting trust and NHS targets.

Liaising with multiple teams including pre-assessment admin & nurses, anaesthetists and theatre staff/managers to make sure theatre admissions for patients are booked in a timely manner. Also making sure that any equipment for theatres is arranged.
