Role summary

This role provides professional administrative support to the Guardian of Safe and Flexible Working, ensuring compliance with the 2026 Terms and Conditions for Resident Doctors regarding exception reporting. The post holder will collate and provide information, escalate exception reports, and compile weekly and quarterly reports. They will also monitor the system database, identify trends, and liaise with various staff to ensure timely processing of claims.

Key responsibilities

  • Provide professional, effective and efficient administrative support to the Guardian.
  • Collate and provide information to support Health Board compliance with the 2026 Terms and Conditions for Resident Doctors.
  • Receive, and where necessary, escalate exception reports.
  • Compile weekly and quarterly reports.
  • Monitor the system database daily for all Exception Reports logged.
  • Liaise with Resident Doctors, Educational Supervisors, Rota Co-ordinators and Service Managers.

Essential criteria

  • Up to GCSE standard for Maths and English or equivalent experience. Required to hold NVQ Level 3 or equivalent experience
  • Experience of office and administration procedures
  • Ability to communicate clearly and precisely both verbally and in writing. Able to assess a situation and act decisively. Demonstrate a breadth of experience and ability to apply this to practice. Demonstrate recent effective contribution to multidisciplinary working. Has the ability to independently make clinical decisions. Good attention to detail. Able to identify links and potential problems when assessing a situation. Observant. Basic computer skills. Demonstrate a good understanding of audit and its application to uses in practice
  • IT skills to be competent using Microsoft Office(outlook, excel, word). Awareness of Health and Safety Regulations. Good written and verbal communication
  • Enthusiastic, motivated and approachable. Ability to motivate and lead others. Awareness and willingness to be involved in implementing change. Able to challenge and offer viable alternatives. Strength of character and confidence to manage opposition and overcome obstacles in a positive and non- threatening way. Able to work in complex situations
  • Committed to continuous professional development. Travel throughout North Wales

Desirable criteria

  • ECDL
  • Experience in more than one clinical area. Experience in managing clinic diaries/appointment schedules
  • Ability to speak Welsh. Experience in stock management. Experience of understanding research/audit
  • Welsh speaking Be prepared to work flexible hours

Main duties of the job

Planning and Design

The post holder will provide professional, efficient and effective administrative support to the Guardian to enable the Health Board to comply with the 2026 Terms and Conditions for Resident Doctors in relation to exception reporting.

The post holder will be guided by established processes but will also be required to act on their own initiative with advice from the Guardian where needed.

Improvement and Monitoring

Analyse data and information received and identify trends of high-risk Exception Reporting across Departments.

Monitor the system database on a daily basis for all Exception Reports logged.

Escalate any Immediate Safety Concerns generated via an Exception Report to the Guardian.
