Role summary

This is a full-time secondment/fixed-term opportunity for a Band 5 Administration Service Manager within Specialist Children's Services. Key responsibilities

  • Lead, line manage, motivate, and supervise administration staff, overseeing workforce planning.
  • Lead on and support the delivery of effective and efficient administration services.
  • Drive change by reviewing and updating processes, collaborating with health colleagues.
  • Partner with clinical service operations to provide resilient and quality service.
  • Manage absence and staff performance in line with Trust policy.
  • Oversee effective waiting list management in line with KPIs and the 18-week patient pathway.

Essential criteria

  • Educated to degree level, evidence of higher education or equivalent experience.
  • NVQ Business Administration Level 4 or equivalent.
  • Good general standard of education (minimum GCSE English and Maths at Grade C/ Level 4, or equivalent).
  • Qualification in supervisory management or demonstrable experience.
  • Proven experience of working within busy healthcare settings.
  • Significant experience of recruiting, supervising and line managing large and diverse teams of admin and clerical staff across a range of roles, including undertaking appraisals, disciplinaries and grievances.
  • Excellent IT and keyboard skills with extensive knowledge and experience of using Microsoft Office, particularly Word, Excel, PowerPoint and Publisher.
  • Awareness and understanding of waiting list management and clinical support needs.
  • Proven financial and budget management experience.
  • Proven experience of working autonomously and the ability to demonstrate excellent decision-making skills.
  • Proven experience of managing site and facilities issues.
  • Ability to demonstrate a systematic approach to the prioritisation of work, to manage a high-volume workload with competing priorities and to cope well under pressure to meet tight deadlines.
  • Ability to demonstrate use of initiative with a pro-active approach in completing tasks.
  • Ability to demonstrate strong leadership skills within small and wider teams.
  • Excellent knowledge of administrative procedures with proven ability to review and improve admin processes and systems.
  • Ability to demonstrate excellent customer care-focused skills.
  • Ability to analyse, synthesise and present data and other information effectively.
  • Ability to demonstrate excellent inter- personal, communication, negotiation and persuasive skills with colleagues, patients and external partners at all levels.

Job summary

An exciting secondment/fixed term opportunity has arisen for an enthusiastic, dynamic and motivated Band 5 Administration Service Manager to join the Children's Administration team for Specialist Children's Services.

The post is responsible for leading and developing Children's Services administration teams, ensuring the delivery of high-quality, efficient, and patient-focused support services across the Trust. Working collaboratively with clinical, operational, and administrative colleagues, the role provides leadership in workforce planning, service improvement, and change management, while fostering strong partnerships to support effective service delivery and positive outcomes for children, young people, and their families. This is a full-time post based at Norwich Community Hospital. The post is available as a fixed term contract or secondment for 12 months.
