Role summary

This role is for an experienced Senior Management Support Administrator to assist the West Suffolk Locality senior leadership team. It involves managing a busy and varied workload, including diary management, meeting minutes, and staff supervision. The successful candidate will need excellent communication and organisational skills, working both independently and as part of a team. The position is part-time and fixed-term for 6 months.

Key responsibilities

  • Support the West Suffolk Locality senior leadership team.
  • Manage a busy and varied workload in a demanding office environment.
  • Prioritise work effectively and use own initiative.
  • Conduct minutes of meetings and transcribing.
  • Supervise staff members.
  • Manage diaries for the senior leadership team.
  • Assist with staff training and recruitment.

  • Provide meeting support, including monitoring and updating locality action logs and spreadsheets.

Essential criteria

  • Pitman/RSA III Typing / Word Processing or equivalent secretarial experience at advanced level.
  • NVQ 3 Business Administration or equivalent or willing to work towards.
  • NVQ 2 Customer Services or working towards.
  • Understanding and experience in a full range of secretarial procedures and systems gained through senior level.
  • Working under pressure.
  • Working on own initiative with minimal supervision.
  • Ability to work with senior members of staff across a large organisation.
  • Experience of working at PA level.
  • Supervision of staff.
  • Excellent communication skills.
  • Ability to prioritise.
  • Interpersonal skills including taking a proactive diplomatic approach and ensuring confidentiality at all times
  • Ability to co-ordinate and prioritise management diaries.
  • ICT skills including Microsoft.
  • Good standard of literacy and numeracy.
  • Maintaining administrative systems
  • Able to work proactively with minimal supervision.
  • Able to work to strict deadlines and to prioritise own and others' workload.
  • Problem solving skills.

  • Day to day line management.

Main duties of the job

A vacancy has arisen for aSenior Management Support Administrator supporting the West Suffolk Locality senior leadership team. The post is being offered on a fixed term basis and will be part time 22.5 hours per week, based at Wedgewood House, Bury St Edmunds.

The successful applicant will need to demonstrate the ability to manage a busy and varied workload, in a sometimes demanding office environment.
