Privacy Policy

This page is maintained by CareerHive to explain how we handle personal data for members of the CareerHive Skool community. CareerHive is an independent platform and is not affiliated with, endorsed by, or officially connected to any NHS Trust or NHS organisation.
1. Who we are
CareerHive (“we”, “us”) operates the CareerHive member platform available to verified members of the CareerHive community on Skool. For privacy enquiries email privacy@careerhiveuk.com.
2. What we collect
- Account data: email address, display name, password hash (managed by our authentication provider).
- Preference data: target NHS bands, target UK regions, and whether you need visa sponsorship - captured in the onboarding flow.
- Activity data: jobs you save, documents you generate with HiveMind AI, alert preferences, and pipeline-tracker status.
- Community status: whether your email matches an active CareerHive Skool community membership.
- Technical data: standard server logs from page and API requests (timestamps, route, status code). We do not run third-party analytics or advertising trackers at this time.
3. How we use it
- To give you access to the member dashboard and gate it behind active community membership.
- To rank and filter NHS vacancies against your stated preferences.
- To send the daily and (optional) weekly job-match emails you opt in to.
- To generate HiveMind AI documents at your request.
- To investigate abuse, debug errors, and protect the service.
4. Job listings
Vacancy data shown on CareerHive is collected from publicly accessible NHS and trust career pages. We do not receive personal data from those sources. Sponsorship classification is generated by our own logic and is provided as guidance only - always confirm directly with the employing trust.
5. AI processing (HiveMind)
When you generate a document with HiveMind AI we send the relevant job text and any prompt you provide to OpenAI’s API for completion. We do not send your account email or community status. Generated documents are stored in your Vault until you delete them or your account.
6. Sharing
We do not sell personal data. We share data only with the processors that run the platform: our authentication and database provider (Supabase via Lovable Cloud), our email-sending infrastructure, our crawling provider (Firecrawl, for job-data ingestion only - no member data), and our AI model provider (OpenAI, only when you trigger HiveMind).
7. Retention
- Account, preference, and activity data: kept while your account exists.
- Job listings: purged automatically after 60 days of staleness.
- Server and crawl logs: retained for up to 90 days for operational debugging.
8. Your rights
Under UK GDPR you can request access to, correction of, or deletion of your personal data. You can delete your account and all associated data at any time from your Vault page. For any other request email privacy@careerhiveuk.com; we respond within 30 days.
9. Cookies
We use a small number of strictly necessary cookies/local-storage entries for authentication and to remember UI state (e.g. dismissed tour, saved filters). We do not set advertising or cross-site tracking cookies.
10. Changes
We may update this policy as the product evolves. Material changes will be communicated in-app or by email to active members.
